4. Libraries

This chapter reviews all the libraries that come with ShareControl Contract, including folders and files.

Libraries are found on the left side of the menu and the name can be modified under Settings.

The example shows the Supplier Agreements library, which contains sample folders.

The contents of the library are displayed as follows:

The «Supplier agreements» library contains the following metadata / columns:

Type of contract, Company, Department, Counterparty, etc. These come as standard for all libraries of this type (“Supplier agreements”).

In addition to these, the columns for Type (Folder / file-icon), Title (Folder name), Contract payments and so on are included.

At the top, you’ll see a button for New item, which takes you to a screenshot where you can create a new folder / contract in the current library.

You can use the funnel (image) to sort and filter the content. This can be compared to similar functionality in Excel. It will be useful for sorting and retrieving documents, regardless of the folder structure (For example, for sorting by company and or counterparty). The use is explained in more detail in a separate chapter (Chapter 4.2).

Expired contracts are hidden in libraries. You can press the button image to view expired contracts, and they are marked in pink. This is checked against the actual date.

The button changes to image when expired contracts are displayed. You can click this button to hide expired contracts.
